Scheduling by hand is fine when you have three techs. It gets painful fast as you grow. WowServe's AI scheduling reads your inbox, your team's calendar, and each technician's skills, and proposes the best fit for every job — so you can spend time approving instead of solving puzzles.
What the AI looks at
For every unassigned job, the scheduler considers:
- Job type and required skills — only techs with the right certifications get suggested. A Refrigerant Handling (EPA 608) job won't go to an apprentice without the cert.
- Tech availability and current capacity — it won't double-book or over-stack a day.
- Geography — jobs near other jobs on the same tech's route get prioritized, this includes where techs start and end their days.
- Priority and customer tier — Critical jobs and Premium/Enterprise customers get earlier slots.
Where you see it
The Inbox on the dispatch board uses priority lanes (Critical, Follow-up Visit, Review, Callback Required, Ready, Parking Lot) so urgent work surfaces immediately. For any card in the Inbox, the AI Assistant in the left rail can suggest an assignment — type "schedule this for the best fit" and it'll recommend a tech and a time. You can accept or override.
Get the most out of it
- Keep your Skills & Specialties up to date in Team & Assets — wrong skills produce wrong suggestions.
- Configure Job Types in Settings → Job Types with realistic durations and required skills. The AI uses those to plan around realistic gap times.
- Let recurring jobs (memberships, seasonal tune-ups) flow into the system on their own schedule — the AI will fit them around your one-off work.
